Privacy and Cookie Policy
Last updated: 24 October 2026
This policy explains how City Nest Accommodation Ltd ("City Nest", "we") handles your personal data when you visit our website or contact us through a form, by email or on WhatsApp.
1. Who we are
City Nest Accommodation Ltd is a company registered in England and Wales under number 15347295. Registered address: 12 Old Bond Street, Mayfair, London W1S 4PW. For anything about your personal data, contact us at hello@citynest.uk. Our representative in Türkiye acts on behalf of City Nest, under this policy, only to handle your enquiry.
2. What we collect
- Contact and enquiry forms: your name, email, phone number, message, the service you are interested in, start date, duration, visa type and the page the form was sent from.
- Documents you attach: for example a copy of your passport for a visa application. We only process these when you send them and they are needed for your enquiry.
- Quotes we prepare for you and information about your booking or application.
- Your email and WhatsApp correspondence with us.
- Technical data: IP address, browser details and server logs. We use them for security and to prevent abuse and spam.
3. Why we use your data, and on what legal basis
- To answer your enquiry, prepare quotes and handle your school, accommodation or visa process: steps before a contract and performing it (UK GDPR Art. 6(1)(b)).
- To keep our website secure, prevent spam and improve our service: legitimate interests (Art. 6(1)(f)).
- Accounting and legal records: legal obligation (Art. 6(1)(c)).
- Our newsletter (blog posts and offers): only if you agreed to receive it, or if you have used or asked about our services and did not opt out (the PECR “soft opt-in”). You can unsubscribe at any time with the link in every e-mail.
- External content such as maps and videos, and any analytics or marketing cookies we may use in future: only with your consent (Art. 6(1)(a) and PECR). You can withdraw your consent at any time.
4. Who we share it with
We do not sell your data. We share it only as far as needed to provide our service:
- Language schools, accommodation providers and other organisations we pass your application to at your request.
- Service providers working on our behalf: website hosting (Vercel), database (Turso), email (Google Workspace), and form notifications and our newsletter (Brevo). They process your data only on our instructions.
- If you message us on WhatsApp, the conversation is also subject to WhatsApp's (Meta's) own terms.
- Authorities, where the law requires it.
5. International transfers
Some of our service providers process data outside the UK, for example in the EU or the US. Where they do, legal safeguards apply, such as adequacy regulations or the UK International Data Transfer Agreement. Our representative in Türkiye may access the data needed to handle your enquiry.
6. How long we keep it
- Enquiries that do not lead to a booking: up to 24 months after our last contact.
- Documents you upload (for example a passport copy): no longer than 6 months after the process is complete.
- Booking, contract and accounting records: for the legally required period (usually 6 years).
7. Your rights
You have the right to access your data, to have it corrected or erased, to restrict or object to its processing, to data portability and to withdraw your consent. Write to hello@citynest.uk; we reply within one month. If you are not satisfied with our response, you can complain to the UK Information Commissioner's Office: ico.org.uk.
8. Cookies
Cookies are small files stored by your browser. On our website we use:
- Strictly necessary: the "cn_consent" cookie, which remembers your cookie choice (6 months), and a session cookie used only in our admin area. The site does not work properly without them, so they do not need consent.
- External content: Google Maps and YouTube videos. These load only after you consent or open the content yourself, and they set their own cookies.
- Analytics and marketing: not used at the moment. If we add them, they will only run with your consent.
You can change your choice at any time using the "Cookie settings" link at the bottom of every page.
9. Security
Our website is only available over an encrypted connection (HTTPS). Enquiries and documents can only be seen by authorised staff. We take appropriate technical and organisational measures to protect your data.
10. Changes
We may update this policy from time to time. The date of the latest update is shown at the top of this page.
